Minutes - March 13, 2007

 

Present: Nick Gizzi, Chair., Claudette Romano and George Krabbe

Management: Dianne Brophy, Secretary and Norene Kugler Assistant Manager

Other Members/Visitors Present: Margie and John Carroll and George Burger

Chairman Gizzi, called the meeting to order at 10:00 am. Roll call was taken.

Chairman Gizzi stated the reason for this meeting was to discuss the replacement of the office manager. He stated that the job description needed to be updated. Chairman Gizzi asked what the committee’s thoughts were to have a site manager. The site manager would have the same duties as the office manager but would keep the cost down. A bonus could be offered if this person got a CAM license. The office could work under Norene Kugler’s license. There was discussion.

  • It was stated that the Board would be taking on a lot of responsibility if the office manager did not have a CAM license to begin with.
  • A more qualified office manager could apply for the job.
  • The length of time it would take to get a CAM license.
  • A CAM license is needed in some decision making for a Homeowner Association.

John Carroll said this committee needs to look down the road at who is being hired as future Board of Directors may not be as active as this Board. John also stated site managers and office managers have different duties. The manager needs the authority behind him to be able to make decisions.

George Burger, speaking as a concerned resident of Rotonda West and not a Director said a manager has to be able to work with county and state agencies.

Claudette Romano stated that the manager needs to have accounting experience.

Nick Gizzi stated the manager needs to keep the office staff and Board informed of all aspects of what is happening in Rotonda West.

Margie Carroll suggested that there be a stipulation in the contract that if the person hired is a site manager they have a specific amount to time to go to school and get a CAM license. Discussion followed. George Krabbe suggested that the salary be set in stages and that there is no long-term contract.

It was suggested that an ad be put in the newspaper for an office manager. It was also suggested that Marty Mayer be contacted to see if the firm she works for –job placement– may have someone looking for a job of this type and also to see if CAI has an employment center for people who are looking for a job in this field.

John Carroll stated that there are only three (3) office staff and they each need a working knowledge of each others job for vacations and illness.

The Committee agreed that the new manager would need a strong accounting background, be able to balance monthly accounts and provide monthly financial statements to the Board of Directors. Have monthly staff meetings.

The committee will update the job description and Exhibit A for the manager’s duties.

There being no further business the meeting was adjourned at 12:30 pm

The next meeting date will be March 16, 2007 at 10:00 am.
