The meeting was called to order at 2:00 pm. Roll call was taken. The minutes were accepted as presented.
Chairperson Claudette Romano stated specifications are needed for Rotonda Blvd. West. Ken Guillerm stated the plans should be replicated from Boulevard North and East. Nancy Leighton had drawings for the companies to bid on, or have the bidders go to Boulevard East and replicate that. Art Richards stated there were never any specifications . Nothing can be done until the county has the curbing in place. We need to make sure that the county does not put rubble in the median as it is basically a planter. Discussion followed. Claudette Romano stated that there is a rendering from Oak Farms Nursery for Boulevard West. John Eisele stated that Boulevard West has the longest stretch of median and the bidders need to be told what is wanted. John Farrell stated a specification sheet is needed. Claudette Romano stated this project will have to go out to bid. Discussion followed and it was suggested that a bid meeting be held at the August Beatification meeting.
Linda Harrison gave her report on the Clean-up meeting June 18, 2007, in which there was 65 people in attendance. Not all of the people signed up to clean a street or bridge area. All subdivisions except Pebble Beach have a captain. Barbara Peszko stated she would be the captain for Pebble Beach. Linda Harrison said she is going to see if the volunteer sign-up sheet can be scanned into the West Ways. She felt that more volunteers would come forward and join the Clean-up Committee.
Claudette Romano stated that David Kelly could not be present for the report on Family Fun Day. There will be many games for children including a rock-wall, three (3) bounce house, football throw, dunk tank, golf challenge, and basketball toss. Five or six vendors have already signed up. There will be an ice cream truck, shaved ice booth, chicken salad sandwiches, Pepsi soda truck and hamburgers and hot dogs. Volunteers are needed. American Legion Post 113 will handle the parking and Waste Management is dropping off boxes for trash. There is enough room for 65 to 67 vendors. John Farrell stated he would be able to get antique cars for fun day. Claudette Romano suggested that he and George Burger get together for that. All vendors have received letters and Claudette Romano and John Eisele are meeting with Lisa from Clear Channel Radio to see if they would broadcast from the site. Ken Guillerm asked how are we going to be able to contact the residents. Claudette Romano responded with advertisements in the newspapers, an announcement in the West Way, and radio announcements. Flyers will be sent to the local schools as they will be in session.
Art Richards presented the Oakland Hills Marina specifications for the committee to review. Art Richards explained the specifications. Lighting for the docks could be accomplished when the concrete is removed, the conduit pipe could be laid and a hole cut into the concrete seawall. It would then be run out to the docks. It was also stated that the wash-ins along the seawall would be removed. It was asked if a county permit is needed for this work. Art Richards explained this would come under maintenance. Discussion followed on the removal of the wash-in as to how it could be removed. John Carroll asked if any wildlife or endangered species would be displaced by this project. Art Richards stated not to his knowledge. There was discussion regarding the striping for the No Parking Area.
Claudette Romano said that under "H" on Art Richard’s specification sheet it is stated wood benches. Art Richards stated plastic wood benches. Claudette Romano stated recycled compositioned plastic. It was stated where the ramp will be going needs to be re-sloped. There was discussion on the curbing and the edging. John Peszko asked if shell or concrete was going to be used. Claudette Romano stated we are still debating that. It’s going to be concrete I think. John Eisele said concrete is going to be expensive. Discussion followed on the use of concrete and where it would be used. Shell will have to be replaced on a regular basis but once the concrete is put in there is no maintenance. Bruce Miller suggested that the project be broken down into phases. The Association may not be able to do the project with concrete in one year. It should be done the right way. We need to get bids on the cost for concrete. When the bids come in the committee can decide if the project cost is prohibitive or if it should be done in phases. Joseph Romano suggested that two (2) bids should be given one (1) for shell and the other for concrete. Art Richards stated that under M on the specifications regarding the ramp areas to maintain a 12 foot to1 foot slope are under Federal regulations. There was discussion regarding what will be done when the wash out is removed from the seawall area. John Farrenll stated that it could be put in bags and used to reinforce the shoreline. Art Richards stated it could be spread out where the grass is going. Claudette Romano asked Art Richards if he could redo the plans and specifications to show the concrete area. Art Richards stated he could.
Nick Gizzi asked if there is a dollar limit on this project. Claudette Romano stated this is going to be the most expensive project of all the marinas, because a lot more is involved with this marina. Claudette Romano stated, I need this project with the money amount to give to the Budget and Finance Committee by the end of August.
John Farrell asked if there is any way to have the residents remove the Brazilian Pepper trees from the lots in Rotonda. He stated in a tree next to his property there is a covered lawn mower so entangled in the tree you can’t get to it to remove it. By eliminating these trees it would help with illegal dumping. Nick Gizzi said with the Deed Restrictions being revised there is talk about assessing vacant lot owners for cutting the grass.
