Minutes - May 29, 2007

Chairman George Krabbe called the meeting to order at 9:00 am. Roll call was taken. The minutes were accepted with the correction of Bud Nill’s name being omitted as absent at the April 23, 2007 meeting.

Chairman Krabbe passed out inventory sheets for the Memorial Parks. Listed on the sheet are the parks, Broadmoor, Pebble Beach and White Marsh with inventories for each and expected maintenance for each of the items listed. Discussion followed on maintenance for items and life span on the mechanical equipment listed. along with the following items; flag replacement, trimming, insect control and fertilization of palm trees, shrubs, grass and ornamentals. Replacing any lettering on the memorial signs. Replacement of newspaper dispenser. Nick Gizzi asked about the signs that are at different marinas. George Krabbe said Catch and Release and No Swimming Alligators in the area are at Pebble Beach. Memorial signs are at Pebble Beach, Broadmoor and White Marsh. Chairman Krabbe said we would like to have the same signs, Catch and Release and No Swimming Alligators in the area, at all the parks. Nick Gizzi stated the signs should be consistent at all the memorial parks or not have them at all. George Krabbe stated that they have all the dates when the parks were put in. The committee will have to plan ahead for reserve monies for replacement of mechanical items and trees, etc. in three (3) to five (5) years. A maintenance plan will be made up and left in the office for future maintenance. Discussion followed. It was suggested that on the inventory sheet, if possible, dates of purchase and serial numbers be listed with the equipment.

Five Year Plan:

Chairman Krabbe stated that he has gone through the entire office area and listed all the office equipment and has model and serial numbers on some of the equipment with dates of purchase, and also for the building including air conditioners. Discussion followed on the age and future replacement of the air conditioners. When the list is complete it will be given to the committee. Chairman Krabbe said the telephone system needs to be replaced next year or sooner, the fax machine may need replacing and the computer system needs upgrading. There was one (1) new computer purchased for the office within the past year. Nick Gizzi asked when will these figures be finalized. George Krabbe said hopefully next month.

Building Fund:

Chairman Krabbe said that he and Nick Gizzi met with GRO to discuss the building trust fund. We are trying to set up a tax deductible foundation. A meeting is needed with Kevin Russell, attorney for GRO, to set up by-laws. We feel that people would be willing to contribute. Also residents may want to donate in memory of their loved ones. On May 4 there was a meeting with Bill Truex. He is a local builder who lives in Rotonda West. He offered to look over a plan by Hank Artz and come up with a plan incorporating what Hank Artz had given him. This would done at no cost to the Rotonda West Association. Mr Truex was informed that whatever is built the association would want a building that could be added on to. Discussion followed. Cleon Kern suggested that information on the building should be put in the West Ways. Discussion ensued.

John Eisele stated in 2 or 3 years with contributions to the building fund and selling tracts A and B there may not be a need to go to the membership for money.

Chairman Krabbe stated that when the association got the present community center that a certified inspection was done. In the inspection report it stated that the building was termite infested, there were problems with the ceiling trusses, and the wall should have been opened up for termite inspection. There is a lot of damage with this building and it would be ludicrous to rebuild this building. The building and five (5) lots were purchased in 2000 for $1.00.

Reserves:

The Reserve study is being worked on to determine how much money needs to be put away each year. The Budget meeting is in October and figures will be needed for that meeting. Workshops may be needed to prepare the budget for the Property Committee needs. The budget needs to get out on time this year.

Gazebo:

Chairman Krabbe showed the committee the marina plan for Beautification of the Oakland Hills Marina. What we would like to do is do the Gazebo and Marina at the same time. Chairman Krabbe explained the plan. The plan is to make the Gazebo flow with the marina project. Many items from the marina project will flow through to the Gazebo. We want to stucco the gazebo columns to protect them. Discussion followed. George Krabbe stated this is one of the hub areas in Rotonda West. Nick Gizzi talked about the well field across from the gazebo. Plantings are needed around the fenced in area for screening. Nick Gizzi talked about the electric system used at the gazebo. Discussion followed.

New Business:

Nothing.

Next meeting will be on June 25, 3007 at 9:00 am.
